Adest IDM software electronically captures, indexes (files) and then stores all documents in a centralised file repository linked to a database, e.g. SQL.
The Adest database enables users to easily retrieve, view, match, report, audit, route, distribute, etc. all such documents in image or softcopy format from any location.
-
Capture and Index
Paper documents are scanned converting them into efficient electronic images ready for indexing.
Softcopy documents are captured directly from electronic output files or saved directly from third party applications.
Once in electronic format, all documents (including e-mails with attachments) etc., are accurately indexed into a central database repository using a pre-defined index criteria, i.e. customised to meet existing or specific filing requirements.
-
Retrieve and View
Documents can be retrieved on screen from any location by any combination of structured searchable index criteria. Once located a document can then be viewed, routed, printed or distributed externally by e-fax or e-mail.
- View
The Adest Viewer technology enables users to view, rotate, zoom, annotate, etc., the entire content of the document in its original file format without the need to use the underlying application e.g. Hundreds of file formats including CAD files, MS Powerpoint, MS Word, E-mails (with attachments) etc. can be viewed and printed easily.
- Store
The Adest document repository is linked to the Adest SQL database allowing high volumes of documents and files to be stored for retrieval. Further to this older documents can be moved ("archived") to external storage media format, such the CD-ROM or tape media or even to Storage Area Networks. Such archiving of documents is more a cost-efficient and practical storage medium for such documents.
